Billing FAQ

Answers to common billing questions: logging into the Maxio billing portal, updating payment methods, invoices, credits, plan changes, disputes, taxes, and more.

Prerequisites

ℹ️ Note: Logging into the billing portal and making payment changes can only be done by your account's billing admin. If you're not the billing admin, reach out to the billing admin on your account or email [email protected] and the billing team will help.

The in-app Billing & History section (Settings > Billing & History) is only accessible to users with Owner permissions.

Logging into your billing portal

Your billing portal, powered by Maxio, is where you log in to view invoices, update your payment method, and manage your subscription.

Only your account's billing admin can log into the Maxio billing portal. If you're the billing admin, log in here: https://billingportal.com/s/aiqsystems/login/password

If you're not the billing admin, contact the billing admin on your account.

Updating your payment method

Update a credit or debit card

If you're the billing admin:

  1. Log into the Maxio billing portal.

  2. Go to Subscriptions.

  3. Click Update Payment Method.

  4. Add your credit or debit card and click Save.

Optionally, you can enroll in automatic collection from the same tab.

We accept Visa, Mastercard, American Express, and Discover.

Pay by bank account (ACH / direct debit)

Bank-account payment isn't self-service yet. Email [email protected] and we'll send you a secure link where you can select Direct Debit and enter your bank account details.

Your bank account must be USD-denominated. Foreign bank accounts (for example, Canadian) can't be placed on file.

If you're not the billing admin

Payment changes are made by the billing admin on your account. Reach out to them, or email [email protected] and we'll point you in the right direction.

Viewing and downloading invoices

You can view your invoices inside AIQ, but downloading a PDF copy happens in the Maxio billing portal.

What you want

Where to go

View an invoice (line items, read-only)

In AIQ, go to Settings > Billing & History > Billing History and select an invoice. A side panel slides out with the details.

Download a PDF copy

Log into the Maxio billing portal, go to Invoices, open the invoice, and download the copy from that screen.

Past-due or suspended accounts

To restore a suspended account, the billing admin needs to log into the Maxio billing portal and pay the outstanding invoice. This is the only way to lift a suspension.

If you're not the billing admin, contact the billing admin on your account. You can also email [email protected] for assistance.

Changing your plan

Upgrades

To upgrade your plan, reach out to AIQ Support to get started. Upgrading your plan (e.g., adding more features or increasing credit limits) takes effect at the start of your next billing cycle. It is possible to upgrade mid-cycle; this will result in pro-rated charges on your next invoice.

Downgrades

Downgrades can't be made mid-contract. They take effect at renewal, or within your opt-out period.

Your billing contact and invoice email

You can update the email address that receives your invoices yourself:

  1. Log into the Maxio billing portal.

  2. Go to Subscriptions.

  3. Under Shipping Address, click Edit Contact Information.

  4. Update the email address and confirm the checkbox.

  5. Click Save.

To add a second billing contact or change who has portal access, you can do it yourself in the Maxio billing portal, or email [email protected] and we'll make the change for you.

Billing disputes and unexpected charges

If you don't recognize a charge or want to dispute an overage, email [email protected] with the invoice in question and the specifics of what you're disputing. Our billing team will review the contract against the invoice and follow up with you.

Credits and overage charges

Finding your overage rate

In AIQ, go to Settings > Billing & History > Billing Plans and scroll to your current messaging plan. Your overage rate is the per-credit cost for usage beyond your included credits. (For example, a 20,000-credit plan might show an overage rate of $0.014 per credit over the included 20,000.)

Rollover and expiration

  • Credits don't roll over — unused credits do not carry into the next month.

  • Credits reset at the start of each billing period. Anything not used within the period isn't carried forward.

  • The billing period dates for a charge are shown on the invoice, under the line item name.

Statements and older invoices

Requesting a statement

The Maxio billing portal doesn't generate account statements. If you'd like a statement, email [email protected] and we'll send one.

Invoices before March 2026

Because of a change in billing platforms, invoices dated before March 2026 aren't available in the current billing portal. Email [email protected] to request copies of any invoice from before that date.

Checking your autopay status

The Maxio billing portal doesn't currently show whether you're enrolled in autopay. To confirm your autopay status, email [email protected].

Overpayments and prepayment balances

If you've overpaid, you can see it in the Maxio billing portal under Subscriptions, shown as a current prepayment balance. Any overpayment or credit on your account is automatically applied to your next invoice.

Your estimated next billing amount

You can see your estimated next billing amount in the Maxio billing portal under Plan Details for your fixed monthly contracted fees.

ℹ️ Note: This estimate doesn't include variable fees such as overages, so your actual invoice may be higher than the estimate shown.

Failed payments, late fees, and accepted payment methods

If a card payment fails or is declined

The billing admin, and anyone CC'd on the billing account, automatically receives a notification that the payment failed. A failed payment won't immediately suspend your account — just update your payment method in the Maxio billing portal to resolve it.

Late fees and interest

AIQ may charge late fees or interest on a past-due balance. For the specifics, see the Master Service Agreement / Terms & Conditions on aiq.com.

Splitting a payment

You can add multiple payment methods to your account and split a payment across them. Email [email protected] and we'll help you set this up.

Taxes and billing documentation

Requesting a W-9

Email [email protected] to request a copy of AIQ's W-9.

Sales tax

AIQ charges sales tax in applicable states.

Tax exemption certificates

If you have a tax exemption certificate, submit it to [email protected] and we'll apply the exemption to your account.

Keeping your address current

AIQ doesn't send paper invoices or mail, so there's no separate billing address to maintain. What matters is keeping your account's physical location address current, since that's used for sales tax. You can update it in the Maxio billing portal.
