Troubleshoot Inventory Not Syncing Between Your POS and Menu

Product showing different stock in your POS than on your AIQ Ecommerce menu? Learn the common causes and how to fix inventory that isn't syncing.

If a product shows stock in your POS but appears out of stock, hidden, or with a different quantity on your AIQ Ecommerce menu, this guide helps you find the cause and fix it.

Prerequisites

Before getting started, make sure you have:

  • A POS integration connected to AIQ Ecommerce. If you haven't connected one yet, see your Connect [POS] to AIQ Ecommerce article.

  • Access to Menu › Products and Store › Settings in your AIQ Ecommerce dashboard (some settings require the appropriate staff permissions).


How inventory syncing works

  • Your inventory syncs automatically from your POS every 10 minutes.

  • Orders sync in near real time, and order statuses sync about every 2 minutes.

  • Between syncs, AIQ Ecommerce temporarily holds any quantity attached to open orders so the same unit can't be sold twice.

  • You can refresh your inventory instantly at any time (see below).

How to manually sync your inventory

  1. Navigate to Menu › Products.

  2. Click the Sync? link.

💡 Tip: It's safe to run a manual sync anytime. A change made in your POS can otherwise take up to 10 minutes to appear.


Troubleshooting

Issue: A product shows stock in your POS but is hidden or shows zero on your menu.

This is usually a quantity threshold, which hides a product once its stock drops below a set number so you don't oversell your last units. Go to Menu › Products, open the product, and check the Quantity Threshold field on the Pricing tab. Use the Quantity Threshold filter on the Products page to see everything currently below its threshold. Some POS systems also apply their own low-stock threshold — see POS-specific notes below.

Issue: Only your last one or two units won't appear.

They're likely held in an open order so they can't be sold twice. Close or complete the order in your POS, then re-sync from Menu › Products › Sync?

Issue: A change you made in your POS hasn't appeared yet.

Syncs run every 10 minutes. Wait for the next sync, or trigger one now from Menu › Products › Sync?

Issue: A product is missing from your menu but still appears in POS search or in offers.

This is usually missing or incorrect category mapping. Open the product, go to the Advanced tab, and copy the exact category name from your POS. Add that name to the matching category under Menu › Categories, save, and re-sync. Full steps are in POS Custom Mappings.

Issue: A specific detail (price, quantity, labs) is wrong or won't update.

Confirm the field is enabled to import under Store › Settings › POS. Imported fields refresh from your POS on every sync and can't be edited directly in AIQ Ecommerce. On some POS systems, syncing the quantity field is optional — see POS-specific notes below.

Issue: Products in a certain room, location, or category aren't syncing.

Many integrations pull inventory only from the rooms, locations, areas, or purchase types (medical vs. recreational) you selected when connecting your POS. Check that filter for your POS in the notes below.

Issue: None of the above resolves it.

Trigger a manual sync from Menu › Products › Sync? If you use a room-based POS (such as Dutchie), move the product to a different room and back to force a fresh sync. Confirm your POS is still connected under Store › Integrations with the correct location selected. If it still won't update, contact AIQ Support (see below) with the product name, the quantity in your POS versus on your menu, a screenshot of both, and when you first noticed the difference.


POS-specific notes

The cause is usually the same, but the exact setting to check depends on your POS.

Dutchie POS:

When a product hits its quantity threshold in Dutchie, Dutchie removes it from their feed and AIQ Ecommerce zeroes it out — so it behaves just like a threshold set in AIQ. If products are missing entirely, check your Rooms setup: if "Assign Rooms to Menus" is enabled in Dutchie, both AIQ and Dispense need access to the room holding your inventory. The Don't Hold Inventory setting also affects how open-order stock is held.

Treez POS:

If one or two units won't appear, they're almost always held in an open order — close it out and re-sync. Confirm the correct location is selected in your integration settings. If you use Sync Total, note that totals come from Treez and AIQ offers are removed at checkout.

COVA:

Confirm the field you're expecting is set to sync for your location, and remember that stock tied to open orders is held until those orders are closed.

POSaBIT:

Products won't appear in the right category (and can look missing) unless category mapping is set up using your product_type values in POS Settings. Quantity is included in the standard set of synced fields.

BLAZE:

If a large portion of your catalog isn't syncing, check your inventory scope in BLAZE. When your online store isn't set to pull from All inventories, some products may not come through. In BLAZE, go to Online Store › Choose Inventory and select All inventories.

Flowhub:

Check that your Room ID and Purchase Category (Medical or Recreational) filters aren't excluding the product. When order syncing is on, marking an order fulfilled releases the stock AIQ was holding.

Flourish:

AIQ Ecommerce only pulls products marked both Active for ecommerce and sellable in Flourish. Confirm both are set, and that you've selected the correct facility in your integration.

Revel:

Syncing the quantity field is optional for Revel, so if it was never enabled your stock numbers won't update — confirm it's turned on. Also make sure the correct establishment is selected.

Meadow:

Confirm your category mapping is set up. Order statuses of New or Packed release the stock AIQ was holding, since Meadow takes over fulfillment at that point.

Alleaves:

Alleaves has a Per Location Low Quantity Threshold. When a product's available quantity is at or below that number, AIQ Ecommerce sets it to zero and removes it from your menu — this is the most common reason an Alleaves product shows stock in your POS but not online. Also confirm you selected the correct area to pull from (for example, Retail).

How often does my inventory sync?

Automatically every 10 minutes. Orders sync in near real time, and order statuses sync about every 2 minutes.

Can I trigger a sync manually?

Yes. Go to Menu › Products and click Sync? It's safe to run anytime.

Why would a product with stock be hidden from my menu?

Usually because it's at or below its quantity threshold, or its last units are held in an open order. Both are safeguards that prevent overselling.
