Set Up Order Email Dispatch

Automatically email order details to a delivery partner or other third party when an order reaches a status you choose.

What is Order Email Dispatch?

Order Email Dispatch sends an email with order details to one or more addresses whenever an order of a selected type moves to a selected status. Use it when your delivery partner doesn't have an API integration with AIQ Ecommerce and dispatches drivers from email.

ℹ️ Note: Order Email Dispatch is rolling out gradually. If you don't see it in your Integrations list, contact AIQ Support.

How it works

  • When an order of a selected order type changes to a selected status, AIQ Ecommerce sends one email to each recipient.

  • By default, emails go out when a Delivery order is Confirmed or Cancelled, so your partner hears about cancellations too.

  • The email comes from your store's name. If a recipient replies, the reply goes to your Shipper Email.

ℹ️ Note: Emails are sent when an order's status changes, not on its scheduled date. A future-dated order sends its email when it's confirmed (right away if your store auto-confirms orders).

Enable the integration in AIQ Ecommerce

  1. Navigate to Store > Integrations

  2. Click on Order Email Dispatch (filter Types by Delivery to find it faster)

  3. If prompted, review and accept the terms of service

  4. Turn on the Enable toggle

  5. Enter your Shipper Email

  6. Add one or more Recipient Emails. Type an address and press Enter to add it.

  7. Choose the Order Types and Order Statuses that should send an email

  8. Click Save

Settings

  • Shipper Email (required): Your store's contact address. It appears in each email, and replies from recipients go here.

  • Recipient Emails (required): One or more addresses that receive the order emails, such as your delivery partner's dispatch inbox.

  • Order Types (required): Which order types send an email. Defaults to Delivery.

  • Order Statuses (required): Which status changes send an email. Defaults to Confirmed and Cancelled.

What's in the email

The subject line leads with the status so cancellations stand out, for example: Confirmed: Delivery order #1234 from Your Store.

  • Order: order number, status, order type, date, and scheduled time

  • Shipper: organization name, store name, pick-up address, city, province/state, postal/ZIP code, and shipper email

  • Receiver: customer first name, last name, full address, city, province/state, postal/ZIP code, and phone number

  • Order notes: the customer's delivery notes (buzzer codes, delivery instructions, etc.)

Address labels match your store's country: Province and Postal Code for Canadian stores, State and ZIP Code for US stores.

ℹ️ Note: Order items and prices are not included in the email.

Turn off Order Email Dispatch

  1. Navigate to Store > Integrations

  2. Click on Order Email Dispatch

  3. Turn off the Enable toggle

Not receiving emails?
